- Rates may increase without notice due to changes in government charges, taxes or levies.
- The deadline for accommodation bookings through East Coast Conferences is Friday 1st September 2023
Full prepayment of accommodation is required to secure your booking.
Block bookings have been made at Mercure Newcastle, Holiday Inn Express Newcastle & Quest Newcastle and will be confirmed on a first-in basis. Bookings have been made for the conference dates only (Checking in on Monday 30th October and Checking out Friday 3rd November 2023). Accommodation can be organised outside these dates on a by-request basis only, and room rates may vary outside these dates. All accommodation bookings are subject to availability.
How to Book Accommodation
To book, complete the online registration form and the conference managers will forward your reservation and full pre-payment to the hotel.
Change of Booking
Any change to a reservation must initially be notified to the Conference Managers and not directly to the hotel. Please note, any changes must be made to the conference managers by Friday 1st September 2023. Cancellations must be made in writing (fees may apply).
Please indicate on your registration form or notify the Conference Managers in writing if you will arrive at your hotel after 6pm. Failure to notify of a late arrival may mean that your room will be released, and deposit forfeited.
Hotel check-in time is 3pm. If you are to arrive before this time it is probable that you will not be able to gain access to your room. To guarantee a room to be available for an early arrival you will need to pre-book your room for the previous night. If required, please indicate on your registration form. (You will be charged by the hotel for the additional night).
Any accommodation cancellations received after Friday 1st September 2023 are subject to fees dependent on hotel advise.
Newcastle is located only two hours drive north of Sydney and an easy 50 minute journey to the Hunter Valley or Port Stephens.
Driving from Sydney or the South – Follow the Pacific Motorway (M1) and take the Newcastle Link Road exit which will bring you into the heart of the City. Driving from the West – Newcastle City Centre is accessible from either the New England or Golden Highway.

Newcastle is part of the CityRail network. Frequent daily return services are available heading south on the Newcastle/Central Coast network with access to; Lake Macquarie, the Central Coast, Sydney and surrounding suburbs, and heading north west on the Hunter network providing access to the Lower and Upper Hunter regions.
Trains terminate at Newcastle Interchange from the Hunter, Central Coast and Newcastle lines. A light rail service operates to Honeysuckle station, a 200m walk from NEX.
