All participants of the Conference (delegates, speakers, sponsors and industry representatives) must be registered and have a correct name badge. Due to strict insurance conditions there are absolutely no ‘shared’ registrations. Delegates not able to attend for the full Conference should register for “day” rates.

Registration Conditions

 

Shared Registrations

Please note one registration form with payment must be received per person attending. Shared registrations are not permitted due to legal and insurance reasons. Day registration rates are available should you be unable to attend the full conference.

Payments

Payment is required to confirm registration and is due within 14 days of receipt of invoice. Payment for Earlybird registrations is due by Monday 21 September 2026, otherwise regular registration rates will apply. Accommodation must be paid in full by Friday 18 September 2026. Payment for registration fees and social functions must be received on receipt of invoice and no later than Monday 12 October 2026.

Credit Card

Visa and Mastercard only are accepted and will incur a 1.8% surcharge. Credit card payments will be shown on your credit card statement as payment to East Coast Conferences.

Billing Address

Please include Billing Address details on the registration form if applicable. All payment related correspondence (i.e. invoices and receipts) will be sent to the Billing Address.

Refunds and Cancellations

All cancellations must be made in writing to East Coast Conferences. Registration fees will be refunded less a 25% cancellation fee prior to 5pm on Friday 4 September 2026. After this date, we regret that no refunds will be made, however substitute delegates will be accepted. Please note that cancellation fees will apply whether or not payment is received at the time of registration. By submitting the registration form, you are agreeing to these conditions. Please refer to the Accommodation Booking Conditions if booking your accommodation through East Coast Conferences.

Dietary Requirements

We cater for guests who require a vegetarian, gluten free meal or food allergies (such as nut, shellfish or egg). However, any lifestyle meal requests may be subject to a menu surcharge. All dietary requirements need to pre-arranged at least 7 days prior to the commencement of the conference.

Insurance

Delegate registration, accommodation and social function ticket fees do not include insurance of any kind. The organisers recommend taking out an insurance policy of your own choice with your local insurance or travel agent.

Photography

By attending this Conference, you grant both East Coast Conferences and the host councils the right to use your image and likeness for marketing and promotional purposes, unless you specifically request removal of the photo or video in writing by emailing your details, the photos details and the Conference name to amy@eastcoastconferences.com.au detailing your request.

Registration Categories

Student/Community Registration – available for full-time students (must produce a current student ID with registration form). This rate is also available for delegates who are representing a volunteer-based community organisation in an unpaid role.

Earlybird Registration – for all registrations received prior to 5pm on Friday 4 September 2026. To be eligible for this rate, payment must be received by Monday 21 September 2026, otherwise regular rates will apply.

Full Registration – Each full conference registration includes all conference sessions on Wednesday, Thursday and Friday, conference materials, daytime catering for three days (morning tea, lunch and afternoon tea for Wednesday and Thursday, morning tea and lunch for Friday), one ticket to the welcome reception and one ticket to the conference dinner.

Student / Community full registration includes all conference sessions on Wednesday, Thursday and Friday, conference materials, daytime catering for three days (morning tea, lunch and afternoon tea for Wednesday and Thursday, morning tea and lunch for Friday), one ticket to the welcome reception and excludes conference dinner.

Payment for all full registration is due within 14 days on invoice date or by Monday 12 October 2026 at the latest.

Day Registration – For delegates who are only able to attend one day of the conference, day registration rates are available for attendance on the Wednesday, Thursday or Friday only. Day registration rates include all conference materials, conference sessions and daytime catering for chosen day. Day rates do not include social functions, however, delegates can purchase tickets for these events separately.
